REQUIREMENTS
- Proven office management or administrative experience in a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are a plus to support diverse client needs
- Previous clerical or customer service experience demonstrating professionalism and attention to detail
- Familiarity with multi-line phone systems, data entry, proofreading, and calendar management tools
RESPONSIBILITIES
- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette
- Handle front desk responsibilities virtually, including greeting clients and visitors via video or phone when needed
- Maintain accurate records through data entry, filing, and proofreading to ensure information integrity
- Oversee calendar management and schedule appointments or meetings using Google Workspace and Microsoft Office tools
- Support bookkeeping tasks utilizing QuickBooks for invoicing, expense tracking, and financial record keeping
- Assist with office management duties such as organizing digital files, managing supplies, and coordinating virtual team communications
- Provide exceptional customer support by addressing inquiries, resolving issues promptly, and maintaining positive relationships
