Systems & Operations Coordinator
Job Description
REQUIREMENTS
- Associate’s or Bachelor’s degree in Business Administration, IT, Operations, or a related field
- 1–2 years of professional office experience in data management or project coordination
- High digital literacy and the ability to learn new software rapidly
- Exceptional attention to detail regarding data accuracy and legal/insurance documentation
- Strong interpersonal skills for communicating technical concepts to non-technical users
Preferred
- Hands-on experience with Smartsheet (formulas and reports) or Salesforce
- Familiarity with NetSuite or similar ERP software
- Knowledge of risk management concepts and commercial insurance terminology
- Experience with low-code automation tools like Zapier
RESPONSIBILITIES
- Conduct weekly data audits of Salesforce and Smartsheet to ensure accuracy of project statuses and financial metrics
- Support the Systems Administrator with user onboarding, offboarding, and permission management
- Oversee the Box file system hierarchy and enforce strict naming conventions and SOPs
- Coordinate the collection, verification, and tracking of Certificates of Insurance (COI) from vendors
- Build and configure project workspaces, sheets, and dashboards in Smartsheet
- Maintain the company’s digital SOP library and provide Tier 1 technical help desk support
- Monitor the performance of AI tools to ensure accurate capture of meeting intelligence and summaries
