Job Description

REQUIREMENTS

  • Associate’s or Bachelor’s degree in Business Administration, IT, Operations, or a related field
  • 1–2 years of professional office experience in data management or project coordination
  • High digital literacy and the ability to learn new software rapidly
  • Exceptional attention to detail regarding data accuracy and legal/insurance documentation
  • Strong interpersonal skills for communicating technical concepts to non-technical users

Preferred

  • Hands-on experience with Smartsheet (formulas and reports) or Salesforce
  • Familiarity with NetSuite or similar ERP software
  • Knowledge of risk management concepts and commercial insurance terminology
  • Experience with low-code automation tools like Zapier

RESPONSIBILITIES

  • Conduct weekly data audits of Salesforce and Smartsheet to ensure accuracy of project statuses and financial metrics
  • Support the Systems Administrator with user onboarding, offboarding, and permission management
  • Oversee the Box file system hierarchy and enforce strict naming conventions and SOPs
  • Coordinate the collection, verification, and tracking of Certificates of Insurance (COI) from vendors
  • Build and configure project workspaces, sheets, and dashboards in Smartsheet
  • Maintain the company’s digital SOP library and provide Tier 1 technical help desk support
  • Monitor the performance of AI tools to ensure accurate capture of meeting intelligence and summaries
