Job Description

REQUIREMENTS

  • Must be able to consistently work 9:00 a.m.–5:00 p.m. Pacific Time.
  • Bachelor’s degree.
  • Outstanding phone and client communication skills.
  • Minimum 2 years of customer service or administrative experience.
  • Excellent writing, proofreading, and organizational skills.
  • Strong attention to detail and follow-through.
  • Proficiency with Microsoft Word, Outlook, Adobe, and general computer/file management systems.
  • Ability to manage multiple priorities and work independently in a remote environment.
  • Experience with Clio, Bill.com, legal billing, or estate planning is a plus.
  • Experience using AI tools preferred.

RESPONSIBILITIES

  • Answer phone calls and perform client intake with professionalism and empathy.
  • Schedule appointments and manage attorney calendars.
  • Respond to client inquiries and provide excellent customer service.
  • Send and receive invoices and assist with billing-related matters.
  • Provide administrative support including data entry, proofreading, document preparation, and email management.
  • Maintain organization and accuracy while handling multiple ongoing tasks.
  • Utilize computer and office software skills to complete tasks efficiently and independently.
