Operations Coordinator
Job Description
REQUIREMENTS
- 2+ years in an executive assistant, administrative assistant, operations coordinator, or staff support role
- Demonstrated experience owning recurring administrative processes end-to-end
- Strong proficiency with Google Workspace, Slack and ClickUp (or equivalent)
- Clear, professional written communication
- Track record of handling confidential information with discretion
Preferred :
- Experience with Rippling, expense management, and password management systems
- Prior agency, professional services, or small-business operations experience
RESPONSIBILITIES
- Run monthly contract reviews, send invoices, and maintain the company forecasting and goal trackers
- Track tool renewals and maintain our project management system’s templates, automations, and company-wide calendar
- Own recurring HR administrative workflow (ICHRA documents, onboarding/offboarding logistics, internal documentation, internal awards coordination)
- Review and categorize expenses and manage reimbursement requests
