  • Familiarity with insurance verification and billing
  • Ability to work independently and proactively
  • Experience working remotely in an administrative or client-facing role

 

RESPONSIBILITIES

  • Serve as the main point of contact for client inquiries (phone, email, client portal)
  • Respond promptly and professionally to messages
  • Support new clients—explain services, guide them through intake paperwork, and answer questions
  • Communicate with parents/guardians when supporting pediatric or adolescent clients
  • Maintain confidentiality and uphold HIPAA standards at all times
  • Manage clinician schedules in our EHR
  • Assist with appointment booking, rescheduling, cancellations, and waitlists
  • Ensure timely reminders and follow-up communication
  • Coordinate with clinicians to address scheduling conflicts or requests
  • Maintain organized digital records and files
  • Verify insurance benefits and assist clients with insurance-related questions
  • Support billing tasks including processing payments and following up on outstanding balances
  • Assist with digital onboarding tasks for new staff and new clients
  • Participate in weekly virtual team meetings and support administrative projects
  • Facilitate smooth communication between clinicians and clients
  • Support improvements in workflow, systems, and internal processes
  • Provide general administrative support to help keep the practice functioning efficiently
  • Maintain a calm, client-centered approach in a sometimes fast-paced environment
