REQUIREMENTS
- A compassionate communicator who genuinely enjoys helping people and can turn a first call into a confident “yes, I’ll schedule.”
- Excellent written and verbal communication skills.
- Strong computer and tech skills (Google Workspace, spreadsheets, EHR, CRM systems).
- Fast learner, efficient multitasker, and proactive problem solver.
- Highly organized and detail-oriented, able to manage multiple priorities calmly and accurately.
- Previous administrative experience (healthcare or behavioral health preferred).
- Bachelor’s degree preferred.
RESPONSIBILITIES
- Serve as the first point of contact for new clients: answer calls, listen to their needs, and confidently match them with the right clinician.
- Manage the full intake process including benefit verification, appointment scheduling, and confirming intake paperwork is complete.
- Provide caring, timely follow-up to ensure prospective clients feel supported and informed.
- Maintain and update records within our Electronic Health Record (EHR) and CRM systems.
- Communicate regularly with clinicians to coordinate new appointments and client transitions.
- Track incoming calls and referrals in a shared spreadsheet and CRM.
- Assist with billing and insurance follow-up as needed.
- Support the Director and clinical team with administrative and special projects.
